Reimbursement

When you have successfully completed a course, follow these steps to apply for reimbursement.

How to apply for reimbursement

  1. Pull together essential information: the amount of tuition and other reimbursable costs such as application, registration, library, and lab fees.
  2. Enter course information into your online Tuition Assistance Account.
  3. Photocopy your back-up documentation: proof of payment to the educational institution and proof of successful course completion.

    Acceptable proof of payment:

    • student account statement from your school that itemizes tuition charges and payment in full
    • copy of the front and back of your canceled check
    • credit card receipt or statement that clearly shows a payment to/charge from your school
    • cash receipt

    Acceptable proof of course completion:

    • grade report indicating a C- or better in an undergraduate course or B- or better in a graduate course
    • copy of your certificate in the case of approved certificate programs
  4. Submit your back-up documentation within one year to the appropriate Tuition Assistance Plan office — MIT Main Campus HR Department, E19-215, or Lincoln Lab Benefits Office, LL-S2-170.
  5. MIT will review the most current Internal Revenue Code and tax your reimbursement, if appropriate.
  6. Your reimbursement check will be mailed to your office address within four weeks after you have submitted a completed application and accompanying documentation.

First-time prepayment

First-time users of the Tuition Assistance Plan have the option of applying for prepayment before their courses begin. This one-time-only perk was created to alleviate some of the financial pressure associated with undertaking a course of study.

  • The prepayment maximum is $750, and you must have been working at MIT for at least four months to qualify.
  • Prepayment is not available for correspondence courses, career counseling or coaching sessions, licensing or certification exams, or review courses.
  • When you complete the course, you must submit proof that you have completed it successfully or return to MIT any money refunded to you by the educational institution.
  • Should you need additional tuition assistance beyond the $750 prepayment, you will be reimbursed for the balance (not to exceed the plan limit) at the end of the course, but you must meet the grade requirement for the type of course.
  • Request prepayment on your online Tuition Assistance Account at least four weeks before payment is due. The prepayment check will be made payable to the school and will be sent to you by campus mail.
